The Role

As the Director of First Impressions, you have a passion for creating positive first impressions as the welcoming face of Wilson Insurance, delivering outstanding client service, and keeping an office running smoothly.

You will greet clients and visitors, manage incoming calls & emails, process payments, and provide a variety of administrative and office support functions.

This position requires exceptional organizational skills, attention to detail, adaptability, confidentiality, discretion and the ability to balance multiple priorities. You’ll work closely with our team to provide support for daily operations and ensure a seamless client experience.

What You’ll Do

  • Greet and welcome visitors in a friendly and professional manner.
  • Answer, screen, and direct incoming calls, faxes and emails to the appropriate departments or personnel.
  • Schedule and coordinate meetings, appointments, staff and client parking, and boardroom bookings.
  • Maintain a tidy and organized reception area.
  • Provide general administrative support.
  • Handle incoming and outgoing mail and courier.
  • Assist with office supplies management and inventory control.
  • Provide basic information to visitors and clients about the company and its services.
  • Ensure phones and faxes are functioning properly.
  • Assist with various administrative tasks as needed, such as scanning, photocopying, and other clerical duties.
  • Ensure adherence to health and safety regulations within the reception area.
  • Meet or exceed performance metrics.
  • Enter claims information received from companies into our system.
  • Enroll new clients in our client mobile App.
  • Accept payments.
  • Participate in ongoing initiatives.
  • Other duties as required.

What You Bring:

  • High school diploma or equivalent is required. An administrative certification and/or training is preferred.
  • 1-2 years of experience as a receptionist, front desk, or in a similar client service role.
  • A combination of education and/or work experience will be considered as a substitute for minimum qualifications.
  • Level 1 Agent license or willing to work toward same.
  • Excellent verbal and written communication and client service skills.
  • Strong organizational and multitasking abilities.
  • Proficiency with office software (i.e. Microsoft Office 365) and basic office equipment.
  • Ability to always maintain a professional demeanor and handle confidential information with discretion.
  • Positive attitude and excellent interpersonal skills.
  • Bondable.
  • Excellent sales experience ideally in a service industry would be considered an asset.
  • Proven experience driving process improvements.
